Event Hire Terms

 


 

Effective Date: 13 June 2025

At Ginny Bar (The Event Au), we understand that plans can change, and we strive to offer flexibility while maintaining the high quality and availability of our services.

🗓 Booking & Payment Terms (Non-BNPL)

  • A non-refundable flat rate deposit of $500 is required to secure your event date. This deposit confirms your booking and will be applied toward your final balance.

  • The remaining balance is due 30 days prior to your event date.

  • If full payment is not received by the due date, your booking may be cancelled and the deposit forfeited.

💡 To avoid disruptions to your booking, please ensure all payments are made on time.


Caravan & Equipment Damage Policy

By booking with us, you agree to the following terms:

Damage to Equipment Due to Power Interference

Clients are responsible for any damage caused to equipment resulting from power supply issues. This includes, but is not limited to, damage to the coffee machine, fridge, or tap system due to:

  • Use of incorrect or faulty power leads (only the leads supplied by Ginny Bar & Barista are to be used)
  • Overloaded or unstable power sources
  • Unauthorised disconnection or tampering with power

Any necessary repairs or replacements due to these issues will be invoiced after the event.

Damage to the Caravan

Clients are liable for any damage to the caravan (interior or exterior) caused by guests or third parties during the hire period. A post-event inspection will be conducted, and any damage will be documented and charged accordingly.

Additional Terms

  • Ginny Bar & Barista reserves the right to cease service if guests behave in a way that risks damage to the caravan or equipment.
  • No unauthorised persons are permitted inside or behind the bar/caravan at any time.
  • Power, water, and surface requirements must be met to prevent operational issues that may lead to accidental damage.

🥂 Glassware Replacement Policy

While standard wear and tear is expected, excessive breakages or missing glassware will be charged at the following replacement rates:

  • Standard glassware: $5 per item
  • Specialty or branded glassware: $10 per item

BYO Alcohol Responsibility

Although our bartenders are RSA-certified and actively practice Responsible Service of Alcohol, clients are solely responsible for the legality and management of BYO alcohol provided.

Ginny Bar & Barista accepts no liability for alcohol-related incidents or damages resulting from guest intoxication.


Cancellation Policy

  • 45+ days before your event: Eligible for a full refund, minus any non-refundable deposit (if applicable).
  • 15–44 days before your event: Eligible for a 50% refund.
  • Less than 15 days before your event: Unfortunately, we cannot offer a refund, as staff and resources have already been allocated to your booking.

Rescheduling

  • You may reschedule your event once for free if notice is given at least 15 days in advance.
  • Rescheduling is subject to availability. If we are unable to accommodate your new date, the standard cancellation terms above will apply.

Refunds

Once your refund is approved, it will be processed to your original payment method within 7 business days.

If you paid via Afterpay, Zip Pay, or PayPal Pay in 4, your refund will follow the refund timelines and policies of those respective platforms.

If you haven’t received your refund after 10 business days, please check with your payment provider. If further assistance is needed, feel free to contact us.


How to Cancel or Request a Refund

To cancel or request a refund, please contact us at drink@ginnybar.com.au and include:

  • Your booking reference
  • The reason for cancellation

We will review your request promptly and respond with next steps.
